GENERAL DESCRIPTION Performs advanced administrative support work for the Office of the Attorney General s (OAG) Child Support (CS) Contract Operations Division. Work involves coordinating administrative activities for the Payment Operations section. ESSENTIAL JOB FUNCTIONS Coordinates the administrative activities for the Payment Operations section by preparing correspondence, reports, forms, and documents; assists section with compiling data and preparing spreadsheets and databases to maintain a record of section expenditures, budget, training, travel, vendor contact, and personnel information; coordinates and schedules meetings and conferences by preparing agendas, and tracking documentation; develops, coordinates and maintains record keeping and filing systems, including invoices, correspondence, email, system documentation, and project progress reports; assists sections with purchasing-related matters such as purchase requisitions, supply orders, printing, and work order requests Performs tracking and forecasting of budget requirements, including preparing and processing purchase orders, invoices, travel request, and travel vouchers; assists sections with project work plans by assisting with the development and production of charts, graphs, and other documents Responds to inquiries regarding administrative rules, regulations, policies, and procedures Serves as the section liaison for all inventory-related matters, such as ensuring equipment is assigned to users and proper documentation reflects designated users Performs related work as assigned Maintains relevant knowledge necessary to perform essential job functions Attends work regularly in compliance with agreed-upon work schedule Ensures security and confidentiality of sensitive and/or protected information Complies with all agency policies and procedures, including those pertaining to ethics and integrity MINIMUM QUALIFICATIONS Education: Graduation from high school or equivalent Education: Bachelor's degree from an accredited college or university; experience in the following (or closely related) fields may be substituted for the required education on a year-for-year basis: administrative support, clerical, or general office Knowledge of office practices and administrative procedures Knowledge of Microsoft Word and Excel Knowledge of organizational behavior, including assuming and sharing responsibility Skill in effective oral and written communication Skill in exercising sound judgment and effective decision making Ability to receive and respond positively to constructive feedback Ability to work cooperatively with others in a professional office environment Ability to provide excellent customer service Ability to arrange for personal transportation for business-related travel Ability to work more than 40 hours as needed and in compliance with the FLSA Ability to lift and relocate 30 lbs.
