Job Description

Provide administrative support to multiple, high level individuals for four different programs. Reporting to the Assistant Vice Chancellor for Academic and Outreach Programs, this position executes the administrative functions for the offices of the Assistant Agency Director for Regional Divisions/Director of System Schools, the Director of Professional and Continuing Education, the Director of Government Initiatives, and Assistant Vice Chancellor for Government Relations. Coordinate, prioritize and perform administrative activities, including multiple calendars and schedules, planning and logistical support for meetings and events; long-term initiatives or new programs. In many cases, serve as first point of contact for greeting guests and answering phones, assist with establishing contact and meetings with clients, directors and staff. Proofread and produce memos, letters and email communications; assist with preparing budgets and reimbursements; handle multiple, complex, technical and confidential documents. Provide interface for human resources, business coordinator, and travel. Ability to multi-task is essential. Performs related duties as assigned.

Required Education

A bachelor’s degree or an equivalent combination of training and experience (eight years experience with high school graduation or four years with an associate’s degree).

Required Experience

3 years experience in office administration or project management, including some supervisory experience.

Preferred Education

Preferred Experience

6 years’ experience in office administration or project management, including some supervisor experience.

Valid drivers’ license. Working knowledge of standard office equipment and personal computers. Working knowledge of spreadsheet, presentation and word processing software programs.

Interpersonal and communication skills and abilities to plan and organize effectively. Ability to multitask and work cooperative with others.

Proficient with using MSOffice Suite including using Outlook as a tool for tracking/managing multiple calendars.
