The Administrative Assistant is responsible for managing and performing administrative functions (e.g., correspondence, travel arrangements, expense reporting, scheduling of meetings and events, receiving visitors, etc.) under the guidance of the Campus Director. He/She handles information requests, prepares needed documentation (e.g., reports, correspondence, spreadsheets, etc.). The Administrative Assistant greets callers and visitors to the campus and directs them to the appropriate individual or department.
⁻ High School Diploma
⁻ Two years of experience assisting others in an administrative capacity
⁻ Bachelor’s Degree
⁻ Advanced knowledge and proficiency in Microsoft Office Suite including Word, Excel, PowerPoint and Outlook
Knowledge, Skills, and Abilities:
Excellent written and verbal communication (telephone etiquette, written correspondence, etc.)
Knowledge of MS Office applications, including at a minimum Word, Excel, PowerPoint, and Outlook
Ability to work effectively with a wide variety of people, including staff, students, contractors, consultants, supervisors
Ability to follow written and verbal instructions
Ability to work independently and to be a self-starter
Strong editing and proofreading skills
Excellent attention to detail
Knowledge of administrative and clerical procedures and systems

Provides Administrative Support
Responds to requests for meetings with the Campus Director and department leads to facilitate the efficient scheduling of meetings and to ensure meeting logistics (e.g., meeting rooms, conference calls, etc.) are finalized.
Makes travel arrangements and provides detailed itineraries and directions to ensure a seamless travel experience.
Greets visitors and callers in a friendly and professional manner and directs them to individuals or departments as appropriate.
Sorts mail and prepares correspondence (e.g., emails, memos, packages, etc.) to ensure the communication of campus and department-level information on a timely basis.
Ensures the optimum level of office supplies are maintained and schedules facility and office equipment maintenance in a timely manner to ensure continuous operation of the campus.
Coordinates Event Logistics
Plans, coordinates, designs, and implements special projects as needed.
Plans and coordinates staff activities for major company events.
Manages Administrative Data, Files and Reports
Prepares reports, memos, letters, statements and other documents, using word processing, spreadsheet, database, and presentation software.
Prepares responses to correspondence containing routine inquiries.
Takes notes during meetings to produce documentation (e.g., correspondence, forms, administrative reports, summaries, etc.).
Updates the company intranet with relevant and timely information.
Edits and coordinates the publication of the quarterly company newsletter.
Reads and analyzes incoming memos, submissions, and reports to determine their significance and plan their distribution.
