University of Texas at Dallas Administrative Services Officer I in Dallas, Texas
Plan and assist in the coordination of the business management, administrative and staff services of a college or large and complex department/area.
Minimum Education and Experience
Bachelor’s degree and seven years of experience in a job at or above the level of Administrative Assistant or the equivalent combination of relevant education and experience; two of these years must be in a position with unit-wide scope.
Preferred Education and Experience
Bachelor’s degree in Accounting, Finance, or Business Administration with experience supporting an office of 10 or more FTEs.
Essential Duties and Responsibilities
Relieve administrative officer of a variety of complex decisions and administrative duties requiring a thorough knowledge of university structure, policies and procedures; may conduct cost studies. May provide staff assistance in the administration of contracts and grants in academic departments; supervise departmental or project service units; prepare budget and maintain control of expenditures within budget; review payroll and human resources transactions; may locate sources of materials and supplies; maintain contact and liaison with administrative officers in other University administrative offices; assign and review the work of non-academic staff; perform other duties as assigned.
This position is responsible for various administrative tasks such as managing calendars, arranging employee travel, record retention, mail, ordering office supplies and equipment, ensuring the functionality of office equipment, and maintaining departmental equipment inventory.
This position also:
Administers departmental and campus meeting (scheduling, coordination, agendas, PowerPoint presentations, and minutes),
Assists with the monitoring of departmental budgets and the preparation of operating expenses projections,
Enters financial and non-financial information in the University accounting system and other departmental databases and logs.
Maintain contact and liaison with clients and partners of the Institute.
Maintain contact and liaison with appropriate development office staff.
Maintain contact and liaison with appropriate school administrative officers.
Receive and greet visitors.
Maintain contact and liaison with appropriate grants and contracts office staff.
Works closely with administrative and grants and contracts personnel to prepare grant and contract documents for administrative approval.
