The Executive Administrator will directly support the VP Global Commercial Sales.

Job Responsibilities:

  • Maintains calendars, arranges meetings, makes travel arrangements and manages travel expenses.

  • Supports miscellaneous clerical duties for the entire group with a focus on the executive leadership, and interfaces with internal and external high level customers.

  • Multi-tasks effectively in a fast-paced and ever changing work environment.

  • Understands and is sensitive to confidential data.

  • Utilizes personal computer and standard desk top software (full complement of Microsoft Office Suite) to access company systems, compose correspondence and create spreadsheets and presentation charts.

  • Assures administrative detail on all projects.

  • Updates and statuses delegated tasks to ensure progress to deadlines.

  • Pursues opportunities to change or lean out processes or approaches.

  • Determines priorities in regards to non-routine situations.

  • Performs additional special assignments as required in support of department staff.

  • Line of Business (LOB) point-of-Contact for Protocol (including--but not limited to--agenda coordination, visitor control, catering, escort, chart flipping).

  • Organizes and executes special events.

  • Completes special projects and other duties as assigned.

Minimum Qualifications:

  • High School Diploma or Equivalent required.

  • 4-6 years Administrative Assistant./Secretarial Experience

  • 2+ years’ experience supporting Senior or Executive Management

  • Excellent interpersonal skills and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.

  • Strong language skills (writing, proofing, editing, drafting, formatting letters, documents, e-mails).

  • Advanced computer skills with respect to Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and internet research skills.

  • Ability to coordinate complex travel arrangements (including international travel, and miscellaneous travel forms), reconciliation of expense reports.

  • Ability to handle confidential and sensitive information with the utmost discretion.

  • Flexible and possess project management skills and project coordination experience sufficient to work independently and execute projects with minimal supervision.

  • Willing and able to take initiative.

  • Effective at multi-tasking and completing assignments accurately and on time.
