Freeman is seeking a Part-Time Relief Receptionist to operate PBX or multi-line telephone system to answer incoming calls and directs callers to appropriate personnel by performing the following duties; and welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel. Additionlal duties include:

  • Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.

  • Retrieves messages from voice mail and forwards to appropriate personnel.

  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.

  • Checks incoming and outgoing guests from corporate office according to defined security procedures.

  • Monitors visitor access and issues passes when required.

  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.

  • Creates, maintains, and distributes telephone lists.

  • Answers questions about organization and provides callers with branch address, directions, and other general information.

  • Performs clerical duties as needed, such as filing, photocopying, and collating.

  • Receives, sorts, and routes packages and items delivered to the reception desk.

  • Maintains fax machines, assists users, sends faxes, and retrieves and routes incoming faxes.

  • Assists with the preparation of outgoing mail/packages.

  • Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary.

  • Orders, receives, and maintains office supplies.

  • Updates appointment calendars for conference rooms.

  • Perform other duties as assigned.


  • Minimum one + months related experience and/or training.

  • Ability to handle sensitive information with the highest degree of confidentiality

  • Ability to write reports, business correspondence, and procedure manuals

  • Proficiency in Microsoft Windows, Word, Outlook and Excel

  • Proven organizational skills in paperwork and filing systems

  • Demonstrated oral and written communication skills demonstrating attention to detail and flexibility

  • Ability to prioritize work assignments, show initiative, and work independently

  • Proven customer service skills


  • Experience in an office environment


  • High School Diploma or GED
