Performs all duties which involve active interaction with the patient in a manner which ensures the patient has a pleasant and satisfactory experience. All interaction with the patients is in adherence to the PCMH principles, policies, and procedures with a focus on customer relations. Serves as a member of the PCMH primary care team by providing accurate and timely appointment information and working with the team to assure same day access is available for patients wanting to see their primary care provider and to assure continuity of care as their schedule allows. Follows SCF policies and procedures that are essential in carrying out the patient health care plan.

Patient Communication: Greets, welcomes, and answers the questions of patients accessing the Clinic in a positive and professional manner. Works with patients to appropriately route calls and arrange appointments that meet the needs of the patient. Works with patients identified as having to complete a pre-visit summary while the patient waits. Assures communication with the patient is culturally and linguistically appropriate. Makes arrangements for interpretation services when necessary. Processes incoming patient referrals for dental services as they are received from SC medical department. When arriving a patient, acknowledges the questions as presented by the patient. When making appointments, reminds the patient of the importance of keeping appointment, rescheduling their appointments, and reminds them to bring all medications they are currently taking. Communicates patients problem/complaint to the supervisor or designee.

Manages Appointments: Enters all appointments in computer. Assures all information in the computer is current and stresses to the patient the reasons why information must be current. Makes necessary corrections. Confirms patient appointments a day in advance for assigned providers. Reschedules all the no shows, as requested by the provider or team member. Must maintain full schedules at all times for assigned physicians.

Team Communication: Works closely with the clinical staff to ensure patients’ needs are known. Actively participates in morning or afternoon huddles to inform the team of the patients confirmed for the day, gaps within the day, and opportunities to develop same day access. Approaches patient care as a team involving clinical and non-clinical staff (eg. Physicians, mid-levels, educators, appointments staff) to achieve patient care objectives. Assists other dental personnel as directed or needed. Attends trainings/meetings when requested.

Billing: Reviews patient encounter forms daily to verify charges and obtains proof of financial coverage. Verifies Medicaid or insurance eligibility and enters into system. Receives and posts cash, checks, or credit card payments for services rendered at the dental clinic. Maintains a cash box, a daily sheet and prepares a deposit along with a closing report on a daily basis.

Submits daily deposit to responsible party on a daily basis. Maintains weekly and monthly reports. Completes all patient visits upon receiving the disposition slip from the nurse or patient.

Demonstrates Safe Professional Conduct: Maintains a friendly and safe environment for self and others. Refrains from texting and speaking on cell phone while on duty. Attends work on a regular and predictable schedule in accordance with clinic leave policy. Refrains from informal communication with patients and others. Responsible for their own safety as well as the safety of others.

High school or GED. Must be Bilingual English/Spanish. Certified medical office specialist from an accredited school and one year work experience as front desk clerk or appointments clerk in a hospital or clinic setting; or two years work experience as front desk clerk/appointments clerk in a hospital or clinic setting. Excellent customer service skills a must.
