Position Information
Position Summary

The Accounting Assistant I provides general bookkeeping support to the department. Duties include but are not limited to: maintaining and updating department accounting system, reconciling monthly department and faculty funds with the Rice Banner system, and preparing and submitting accounting forms, etc. S/he also provides some administrative support to the department and serves as backup contact for inquires for the department, responding by either answering phones or emails.

Experience Preferred

Rice experience or experience in an academic environment.

Working knowledge of spreadsheets and databases.

Ability to move about campus to other departments as needed.

Working Conditions

During peak time with faculty and graduate student recruiting, symposiums, conferences, etc., some overtime may be necessary.

  • Coordinates travel arrangements (air fare, hotel accommodations, ground transportation, etc) for faculty, and visitors.

  • Provides back-up support to other staff either during peak workloads or staff absence, including answering phones, greeting visitors, answering questions that students or faculty may have.

  • Serves as a back-up contact for inquiries for the department, responding by either answering questions by phone, mail or received in person.

  • Assists staff with department conferences and workshops, and coordinating student visits as needed.

  • Orders food, assists with registration and copies handouts and other materials.

  • Verifies department internal excel spreadsheets with Banner to make sure all expenses (travel, salaries, supplies, etc.) post correctly and provide faculty with account statements.

  • Maintains financial files.

  • Posts entries, processes payments and rectifies any discrepancies.

  • Prepares and submits accounting forms that may be needed when reconciling such as Budget transfers, expenditure transfers, salary redistribution forms, gift memos, and Internal Department Transactions (IDT’s) etc.

  • Provides administrator and Chair with monthly fund reports to determine the balances, transfers and various expenditures for all department funds.

  • Generates travel documents, check requests, and other financial documents for faculty, staff, and students for reimbursements.
