Position Summary

The Grant Specialist I, under the supervision of the Interim Associate Director, will serve in the Office of Sponsored Projects and Research Compliance (SPARC) as a coordinator of all activities related to proposal development and submission as well as award management and all associated data entry as assigned to a specific school(s) and/or department(s), supporting all phases of research administration including both pre-award and non-financial post-award processing of grants and contracts.

Experience may be substituted for the education requirement with directly related experience on a one to one yearly basis.

Bachelor’s degree in business administration, finance, or accounting.

  • Excellent oral and written communication skills.

Skills Preferred
  • Advanced Knowledge of Microsoft software such as Word and Excel.
Internal / External Contacts

Contact within the university will extend in scope from the Vice Provost of Research Office to the departmental level, particularly with faculty and department administrators and staff in Research Accounting. Contact outside the university with a wide variety of organizations, including other universities, government officials and funding agencies.

Physical Demands

Required to sit and work in front of a computer for extended periods of time (up to 8 hours per day). Must be able to move about campus.

Working Conditions

There is an extremely heavy volume of work that must be handled quickly and accurately in spite of interruptions by phone calls and visitors requiring service. Routinely required to work extended hours in the evening and occasionally in the early morning and on weekends to meet deadlines. Travel out of town for professional meetings or conferences once every other year.

  • Responsible for post-award grant administration processing, including rebudgeting of funds, program and personnel changes, approvals for foreign travel and capital equipment purchases, and processing required close-out documents for funded research projects of the faculty in the school(s) and department(s) for which this position is responsible.

  • Identifies the need for the creation and negotiation of subawards and amendments and manages the handoff of said assignment to the OSR contract team member.

  • Under direct supervision, the Grant Specialist I reviews, approves, and submits research proposals and other requests for funding to ensure the inclusion of all elements required for submission to a funding agency and compliance with sponsor and university policies. This includes, but is not limited to, reviewing the proposed budget to ensure compliance with specific agency instructions, verifying that the correct fringe benefit and indirect cost rates are used, as well as checking for general errors and omissions.

  • Helps identify possible sources of support for research.

  • Guides, advises and interprets university and sponsor policies and guidelines for faculty and staff as they pertain to the development of research proposals and the proper administration of sponsored grants and contracts.
