**this is an entry-level role

The Proposal Coordinator is responsible for administrative aspects of proposal development—supporting Assisted Levels of Service (this entails creation of the proposal document, locating and inserting company boilerplate, can include mid-cycle and/or final formatting of the document from the Sales Team), backup for template creation and Operations Proposal Specialist (SME in the proposal center for fulfilment questions).


• Support Assisted proposal activities

• Create HP proposal templates based on customer instructions (assisted and managed levels of service)

• Provide high level company boilerplate responses

• Coach account teams to enable them to complete customer proposals on their own (e.g., enter comments/suggestions into proposal template)

• Format Sales-provided content for mid-process draft (format, proofread, spell/grammar check, graphics)

• Support OPS backup role: Engages appropriate internal resources to assist with content for non-standard customer requirements (e.g. supply chain, account operations managers, ebusiness teams)

• Support OPS backup role: Responds to internal questions about HP Direct capabilities to ensure account teams understand the overall direct solution they are proposing to a customer

• Meet all deadlines

• Correctly archive all submitted proposals per HP’s archiving guidelines


• Bachelor's Degree or equivalent experience preferred but not required

1-2 years related experience in documentation development

• Microsoft Office suite of products (primarily MS Word) and knowledge of Adobe Acrobat

• Excellent verbal and written (spelling, punctuation, grammar) in English

• Very strong English editing skills (ability to review Proposal document completed by sales and edit the content for quality)

• Excellent time management and organizational skills

• Ability to work effectively in a high pressure environment and under tight deadlines

• Ability to multitask and manage multiple opportunities

• Self-motivated to succeed without oversight in this fast paced competitive business environment

• Ability to cultivate on-going relationships with proposal managers and SME's

• Research and integration of business and technical information
