Texas Tech University System Office Coordinator in Lubbock, Texas

Position Description

Performs administrative and coordinative work in the Office of a Vice President or above to ensure the smooth operation and functioning of the office. Responsibilities involve the application of constructive measures and appropriate solutions to complex procedural and administrative matters. Duties may also include the coordination of office procedures and policies and high level secretarial support. May supervise office/clerical staff and possibly administrative support staff.

Major/Essential Functions

Responsible for screening and handling telephone communications and serving as information coordinator to all visitors of the facility.

Coordinate with Chancellor Office to develop separate pre-screen process for Chancellor visitors.

Assists in the coordination, supervision, and completion of special projects as needed.

Serves as facility security monitor.

Facilitates emergency and safety issues for building to include point of contact between System office building and Operations.

Board of Regent meeting support in coordination with BOR office.

Responsible for receipt & distribution of incoming packages.

Management of the system office flags (3 flags: USA/Texas/TTUS).

Facilities Planning & Construction support as required.

Manage visitor parking.

Liaison to departments for building functions and events.

Serves as primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies on a range of specified issues: meetings, conferences, and other special events, as required.

Coordination with Student Ambassador support staff to assist in daily activities of position.

Required Qualifications

Bachelor's degree plus 4 years skilled administrative experience; OR a combination of education and/or related experience to equal 8 years.
