Provide administrative and clerical support.
PROVIDES ADMINISTRATIVE AND CLERICAL SUPPORT IN COORDINATING THE ACTIVITIES OF THE HOSPICE PROGRAM.
*Promptly and courteously answers and screens phone calls for the office or department; routes calls as appropriate within established customer service guidelines; accurately records messages and delivers to the appropriate party in a timely manner.
*Greets visitors, guests, and patients promptly and courteously; ascertains their needs and provides assistance in accordance with established policies and procedures.
*Promptly sorts, opens and distributes mail.
*Provides clear photocopies in a timely manner.
*Creates and diligently maintains a variety of confidential files in accordance with established policies and procedures.
*Monitors supply levels and orders accordingly.
COMPLETES PATIENT REFERRAL PROCESS TO MAXIMIZE PATIENT FLOW
*Receives and verifies accuracy/completeness of patient referral information and promptly notifies RN of referral.
*Diligently verifies payment source/coverage.
*Accurately enters referral information into computer system.
*Promptly prepares "Start of Care" packet.
PROVIDE DATA ENTRY AND DOCUMENT PREPARATION ADDITIONAL CLERICAL DUTIES IN SUPPORT OF OFFICE OR DEPARTMENT OPERATIONS.
*Accurately enters patient data and visit information into agency information system.
*Accurately enters staff member data in agency information system.
*Assists staff in tracking documentation and other data to ensure completeness and timeliness.
*Accurately and rapidly types a variety of reports, forms and correspondence from rough drafts or corrected copies.
*Accurately compiles and completes statistical reports, requisitions, and inventory records.
DEPARTMENT SPECIFIC: ER
MANAGES THE PROCESS OF CODING AND FEE ENTRY
*Maintains timelines for charge entry by all coders
*Supervises two FTE medical coders
*Follows up on billing and insurance questions and concerns
*Insures all billable fees are processed correctly through claims manager
*Presents educational sessions with resident physicians
*Works with corporate compliance to ensure compliance of billing within institutional, state and federal guidelines
ENSURES ALL EMERGENCY DEPARTMENT SERVICES ARE BILLED
*Oversees daily DOS processing
*Manages document deficiency database
*Follows up with residents, faculty and program director to ensure deficiencies are remedied
*Works with outside departments to insure complete documentation for all services performed in the Emergency Dept.
RECONCILIATION OF CHARGE TOTALS
*Reconcile weekly fee entry reports provided by clinic administration with departmental totals
*Accurately compiles and completes statistical reports.
SUPERVISING ALL OFFICE FUNTIONS IN THE ABSENCE OF THE DEPARTMENT DIRECTOR
DEPARTMENT SPECIFIC: PRINT SHOP
COORDINATES ALL OFFICE DUTIES EFFICIENTLY FOR THE PRINT SHOP
*Tracks print jobs and communicates information to departments on status of print jobs
*Prepares reports monthly
*Prepares finished products for delivery
*Operates office equipment (bookbinder, folder, collator, paper cutter, hole puncher, padding machine, copier, etc.
PERFORMS OTHER POSITION APPROPRIATE DUTIES AS REQUIRED IN A COMPETENT, PROFESSIONAL AND COURTEOUS MANNER.
REQUIRED SKILLS, KNOWLEDGE, AND ABILITY:
*Some college preferred.
*Experience in the medical and/or home care/hospice field preferred.
*Knowledgeable in computers.
*Ability to type 40 wpm.
