Position Summary Information
Provides standard facility support to management and other staff for events.
Required Education and Experience
Bachelor’s Degree or equivalent combination of training and experience (eight years of experience with a High School Diploma). Some administrative or project management experience.
Preferred Education and Experience
Bachelor’s degree in Arts Management, Facility Management, Business Administration, Hotel/Hospitality Management or related field with one year of experience.

Event Manager Certification
Required Special Knowledge, Abilities, and Skills
Excellent oral and written communication skills. Ability to use word processing, spreadsheet and database programs. Ability to multi-task and work cooperatively with others.

Knowledge and operation of audio/visual equipment.

Detailed Job Duties
Event Assistant of the Presidential Conference Center, assumes management responsibility of Presidential Conference Center services and activities prior to and during events. Participates in negotiations and contract preparation; assists with directing and monitoring the activities of Chartwells Catering, Hilton Catering, Security, and Parking; assists with the coordination of the work plans as directed by needs of clients; correspondence; provides operational support to Manager and the Director. Assists in the coordination facility events, assist in coordinating logistics for program seminars, workshops, lectures and other special events, serves a first point of contact for assigned events, establishes and maintains event files, participates in pre-planning meetings with clients, ensures all setups for assigned events are set according to the diagram(s), ensures all tables, chairs, audiovisual equipment, etc. are set according to PCC standards, ensure event tear-down procedures and equipment care are followed per PCC standards, attend weekly event staff meetings.
Assist in responding to and resolving issues; ensure that the facilities are maintained in a safe and clean environment; ensure that facility and Audio/Visual set-ups are completed accurately and on time; order. Comply with all Annenberg Presidential Conference Center safety regulations and ensure support staff does during events. Ability to lift and handle objects of 50 pounds, may require bending, stooping and climbing.
Position serves as the manager on duty during events.
Assist in the marketing of a premier conference and performance package for facility users of the Annenberg Presidential Conference Center.
Have a friendly and professional attitude when interacting with clients and guests. Uphold a positive work environment with managers and fellow employees. Have open communication with clients and staff in regard to timing or other necessary changes to an event.
