This position will provide a wide range of administrative support to the Physical Plant Zone Managers and Safety Manager
Duties and Responsibilities:
Manages the creations, development, distribution, and proper notices for meeting agendas and assigned preparation of materials and binders; may attend such meetings prepare minutes
Organizes meetings by notifying participants, make room arrangements, preparing agendas and required informational materials
Maintain the databases related to construction projects
Maintains all projects that has warranties. The period of each project is usually one year after completion. This includes contacting contractor, follow up if repair has been made, and documentation with own tracking sheet and TMA
Record, document, and assist DOT manager, with keeping DOT program in compliance with Aramark standards. This includes insuring drivers are up to date with training, personnel liabilities, and recording times behind the wheel.
Work independently and within a team on special and nonrecurring and ongoing projects which includes: planning and coordinating multiple presentations, and organized company-wide events
Make appointments and maintain calendars and schedules
Write purchase orders for non-routine work for Plant staff only
Work with vendors to ensure that ARAMARK and Baylor work policies are followed (id badges, parking passes, etc)
Assist Safety Manager with safety issues, such as lost time accidents, and accident reporting.
Compile documents and train new employees for onboarding within Aramark and the Safety program
Scan and file folders for completed projects
Organizes own work, set priorities and meet critical deadlines; ensure that such deadlines are met by other staff
Develops office applications using available software including database, power point presentations and spreadsheet programs
Perform related duties and responsibilities as required
Minimum Education Required:
- High School diploma with college degree is preferred
Minimum Experience Required:
Three years of administrative assistant experience preferred which includes providing office and administrative support to upper level management staff. Having experience working with contractors and safety programs is preferred.
It is important for this position to use discretion, good judgment, organizational or management ability, initiative, and be able to work independently

Must have exceptional interpersonal skills in order to handle sensitive and confidential situations
Position requires demonstrated poise, tact and diplomacy
Must have experience with a variety of computer software applications in word processing, spreadsheets, database, and presentation software (Word, Excel, Power Point)
Work requires continual attention to detail in composing, tying and proofing materials
