Job responsibilities will include: primary daily responsibility for the intake, categorization and distribution of a large volume of mail; periodically performing a variety of financial clerical duties involved in custody of cash receipts and fee payments and in processing forms, counting money, preparing reports and making deposits; communicating with the public for information retrieval and data entry; and operating a personal computer to enter, verify, research, correct, or retrieve information in or from a computer system database. The employee will be required to learn the functions, policies and procedures of the Business Commercial Filings Section. Unusual questions or problems are referred to the Supervisor. Some overtime work will be required.EXAMPLES OF WORK PERFORMEDOpen, categorize and distribute high volume of incoming mail on daily basisReview/batch mail and enter relevant data and payment information into databaseMaintain three-day turnaround of processing documents.Compare required fees to remittance received, and resolve discrepancies.Responsible for performing payment related tasks using a computerized system which involves receiving, distributing, transferring, and accounting for funds; receipt of payments by cash, checks, credit card, electronic funds transfer.Assist receptionist and substitute for receptionistCopy and maintain records and files.Communicate with the public for information retrieval and data entry.Follow verbal and written instructions.May perform other related work as assigned utilizing demonstrated skills as needed or as required by supervisory personnel.YOUR APPLICATION FOR EMPLOYMENT MUST SHOW HOW YOU MEET EACH OF THE FOLLOWING QUALIFICATIONS:REQUIRED QUALIFICATIONS:Minimum of 1 year administrative experience.Minimum of 1 year customer service experience.EDUCATION:High school diploma or equivalent certificate.KNOWLEDGE, SKILLS, AND ABILITIES:Must be able to understand and follow moderately complex verbal and written instructions.Ability to work in a production-like environment to meet daily quotas.Ability to meet established deadlines.Ability to be flexible and quickly adjust to new situations and changing demands of the team and team supervisor.Must be detail-oriented.Ability to use a computer to retrieve, research, and provide information.Ability to read and understand relevant statutes, administrative rules, policies and procedures, directions, instructions and apply them to filing decisions.Ability to communicate effectively orally and in writing.Ability to work as a member of a team and be an effective team player.Ability to perform duties in a stationary (seated) position with occasional periods of walking.Ability to lift and carry boxes weighing up to thirty (30) pounds.Must be willing to work overtime as required.Regular and punctual attendance.Excellent interpersonal and communication skills, possesses experience and competency in working with customers.Ability to organize and prioritize work in a stressful environment.Skill in the use of standard office equipment and software, as well as 10-key.PREFERRED QUALIFICATIONS:One year (30 semester hours) of college.Experience in cash handling and posting payments.Ability to proficiently read, write and speak Spanish.This job description reflects managements assignment of essential functions and position responsibilities.
