The Administrative Associate V oversees the day to day operations of the Attebury Honors Space and Office. The Administrative Associate V fields all phone calls to the office and answers or directs to the Honors Coordinator or Honors Director. This position also oversees all accounts and payments from these accounts for honors expenses. Functions as a member of the honors team and handles all additional responsibilities as needed and requested. The normal work week is forty hours per week: 8:00 AM - 5:00 PM, but there are frequent evening activities and the possibility of travelling with students to events.


  • Builds and maintains strong relationships with students, faculty and staff; processes incoming and outgoing mail; copies all documents before they leave the office; faxes documents; maintains all office files (students, financial, correspondence) and email or hard copy correspondence with students; accepts, prints and processes new student applications; schedules appointments and monitors calendars for the Honors Coordinator and Academic Director; maintains and purchases all items for the department and prepares and processes all requisitions; answer phones, assists students and maintains the Honors Space.

  • Maintains 7 to 10 departmental accounts and budgets. This includes entry of credits entry of credits and debits, ensuring that funds are available to pay upcoming expenses, keeping the Honors director and coordinator advised of budget balances and activity, and balancing each account monthly by comparing to a budget status report.

  • Allocates and reports procurement card usage each month. This includes gathering receipts from department members, completing all reports for the department, obtaining signatures and sending to Purchasing.

  • Supervises student worker. This includes assigning job duties, ensuring that they have the necessary tools and understand the task.

  • Prepares, processes and maintains travel requisitions and vouchers for the Honors Coordinator and Academic Director, as well as for faculty members who participate in our student travel. This includes making travel arrangements for students.

  • Coordinates semester student events. This includes reserving a venue, ordering catering, advertising the event, and attending and taking attendance. The program hosts 7 to 8 events a semester.

  • Coordinates program fundraisers. This includes securing a venue, coordinating catering, working with marketing to develop and invitation, maintaining guest lists, receiving RSVPs, making travel arrangements for guest speakers, corresponding with guest speakers.

  • Assists in the coordination of the new student Honors Previews and activities during new student orientation. This includes reserving a venue, arranging catering, ordering tables and chairs, preparing documents and assembling student materials, coordinating student volunteers and mentors, setting up and cleaning up as needed.

  • Assists students who are graduating to ensure their final requirements are submitted to the Honors Director and Coordinator. Coordinating the honors graduation reception, ordering medallions for graduates and capstone advisors.

  • Other duties as assigned.

Necessary Qualifications:

  • High School or GED or equivalent combination of education and experience.

  • Five years of related experience.

  • Must have working knowledge of a personal computer.

  • Must have excellent public relation skills and outstanding skills in oral and written communication .

Preferred Qualifications:

  • Some college.
