Job Description

This position has the primary responsibility for making sure that the hiring authority completes all necessary paperwork required during the employment process and ensuring that new employee records are correct in Workday and entered in Colleague. Acts as primary point of contact for questions regarding the on-boarding process. Maintains and ensures accuracy of the employee database.

Work Performed:

  • Update and maintain employee records in Workday and Colleague: This consists of on-boarding questions, maintain addresses, direct deposits, TRS changes, name changes, etc.

  • Train departments on Workday, this includes going to each department and helping them. Assist the Benefits and Training Coordinator with specialized trainings.

  • Assist Part-Time Instructors and Graduate Assistant’s with I-9 completion. Primary contact for Part-Time Instructor and Graduate Assistant HR issues.

  • Work with Student Employment with on-boarding new student employees.

  • Complete various surveys and reports: Assist Institutional Research in compiling data for the IPEDS and AAUP reports and any reports that come in throughout the year.

  • Produce lists and reports for departments and employees upon request.

  • Serve as back-up for Benefits and Training Coordinator.

  • Order supplies and make purchases for the department. Submit monthly Procurement Card allocations.

  • Submit purchase requisitions, interdepartmental requisitions and cash deposits for the department.

  • Submit chargebacks for background checks.

  • Provide Notary Public services.

  • Maintain 100% compliance with timely completion of required System, University, and job-specific on-line training courses.

  • Other duties as assigned.

Necessary Qualifications:

  • High school diploma or equivalent combination of education and experience.

  • Five years of related experience in clerical and human resources positions, including customer service experience.

  • Knowledge of word processing, spreadsheet, and database applications.

  • Knowledge of Human Resources principles.

  • Ability to multitask and work cooperatively with others.

  • Ability to work as a team member in a dynamic organization.

  • Ability to organize and make decisions.

  • Excellent customer service skills.

  • Excellent interpersonal skills and communications skills.

Preferred Qualifications:

  • Associate's Degree.

  • Training experience.

  • SHRM Certification.
