Job Title Property/Receiving Assistant

General Job Description

This is a clerical position responsible for assisting property management staff in daily duties and receiving responsibilities. Responsible for assigning, recording, tagging, and updating property numbers and records; conducting surplus sales, recording and disposing of surplus and scrap material; conducting spot checks and assisting with annual physical inventory; and assisting with reconciliations between property records and the general ledger. Responsible for all incoming and outgoing freight, providing customer service, and assisting in establishing delivery schedule. Works under general supervision, with limited latitude for the use of initiative and independent judgment. Reports to the property manager.

Essential Job Functions

  1. Provides clerical/administrative support by assisting property management staff in daily duties and responsibilities.

    1. Initiates sales of surplus and scrap material.

    2. Updates property records.

    3. Records and disposes of computer surplus.

    4. Assigns, tags, and records property numbers.

    5. Conducts spot checks of inventory.

    6. Assists with annual physical inventory.

    7. Assists with monthly and annual reconciliation between property records and the general ledger.

    8. Monitors missing equipment.

    9. Receives incoming freight and checks for damage.

    10. Prepares delivery records.

    11. Coordinates outgoing shipments and items being returned.

    12. Responsible for incoming and outgoing deliveries.

    13. Expedites orders to ensure on-time delivery.

    14. Contacts departments requesting information for receiving purchase orders.

    15. Follows up with vendors on late or incorrect deliveries and advises purchasers of updated delivery dates.

    Non-Essential Job Functions

  2. Scans property records, as necessary.

    1. Corresponds with various campus departments.

    2. Prepares reports, as necessary.

    3. May receive and distribute departmental mail.

    4. May deliver goods in the absence of student workers.

    5. Performs other related duties as assigned.

    Required Knowledge, Skills, and Abilities

The individual must possess the following knowledge, skills, and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.

  1. Knowledge of, or the ability to learn, university policies and procedures.

    1. Knowledge of records administration and maintenance techniques and procedures.

    2. Knowledge of, or the ability to learn, standards and procedures related to freight damage claims, materials handling, and general receiving.

    3. Skill in typing with minimal errors.

    4. Skill in the use of standard office equipment and software.

    5. Skill in using computer applications including spreadsheet, database, and word processing software.

    6. Ability to accurately prepare and maintain records, files, and reports.

    7. Ability to communicate effectively in both oral and written form.

    8. Ability to maintain effective interpersonal relationships.

    9. Ability to set priorities and complete assignments on time.

    10. Ability to meet and deal with departments in a courteous and efficient manner.

    11. Ability to learn office and university-specific software.

    12. Physical condition adequate to permit full performance of job duties including strength to lift and carry objects weighing up to 50 pounds.

    13. Ability to operate forklift and electric pallet jack.

Required Education

High school diploma or equivalent is required.

Required Experience and Training

Two years of related experience is required.

Preferred Qualifications

Some college coursework in accounting or a related field is preferred. Experience in direct freight handling, warehousing, and freight distribution is preferred.

This position is eligible for participation in the Teacher Retirement System of Texas ( TRS ) retirement plan, subject to the position being at least 20 hours per week and at least 135 days in length.
